Executive Assistant Job

Role and Responsibilities

The Executive Assistant is the “right-hand person” to the Chief Solver and an essential foundation to free the Solve Magic through seamless organisation, flexible integration to the rest of the team and the provision of a professional and friendly client introduction to Solve.

Personal Assistant:

  • Work directly with the Chief Solver (CS) to support all aspects of his daily work
  • Maintain the CS’s calendar, including scheduling meetings, appointments, protected time and travel if necessary.
  • Exercise sensitivity and discretion in committing time.
  • Keep the CS advised of time-sensitive tasks & priorities
  • Assist the CS in preparation of proposals & presentations
  • Assist in creation and development of company systems, processes & documentation, & special projects

Business Administration:

  • Managing, replying and assigning company e-mail
  • Manage company mail
  • Arrange company days, team meetings, visitors & room bookings
  • Prepare meeting agendas and minutes

Project Co-Ordination & Administration:

  • Onboarding of new clients
  • Working with the Project Co-ordinator to seamlessly transfer clients into the project teams
  • Arranging client meetings for the project teams where necessary

Skills & Knowledge

  • Intermediate MS Word, Powerpoint & Excel – creating of templates, spreadsheets, professional documentation, presentations & client documentation
  • Proficient in the use of Google Suite – Google Docs, Gmail, Google Calendar
  • Knowledge of project planning
  • Comfortable with the use of technology (IT, apps etc)

Additional Requirements

Occasional travel may be required in this role.

Benefits

Salary Details

  • Full-time position 40 hours per week with paid 30 min lunch break included
  • Estimated £25,000 to £30,000 – Salary depends on experience and the value you can bring to Solve
  • Job Type: Permanent
  • Location: Office – Newquay, TR8 4UX
